AI Day Planner: From To-Do List to Smarter System
Turning Everyday Tasks Into a Smarter Planning System
An AI Day Planner can do more than store a to-do list. It can help capture tasks in natural language, organize them by date and time, recognize recurring work, and make it easier to see what needs attention next.
Savannah Automated developed a custom AI-powered planning system designed to make everyday task management feel more conversational and less like maintaining another complicated piece of software.
The project combined AI, automation, Make, Google Sheets, and mobile shortcuts to turn ordinary spoken or typed requests into structured tasks that could be stored, scheduled, and retrieved later.
The Challenge
The goal was to create a planning system for someone who needed a faster, more natural way to manage a busy schedule.
Instead of opening an app, filling out several fields, selecting dates, and manually organizing everything, the user needed to be able to say or type something simple like:
“Teach class Saturday at 4:30.”
The system then needed to understand the task, identify the date and time, structure the information correctly, and store it so it could be retrieved later.
Recurring tasks, due dates, and different types of to-dos added another layer of complexity.
The Solution
Savannah Automated designed an AI Day Planner workflow that used conversational input to capture tasks and convert them into structured information.
The automation could interpret task details, separate the task name from dates and times, and send the information into a centralized planning system.
Make handled the workflow automation, while Google Sheets served as the structured task database. Mobile shortcuts provided a simple way to capture information quickly without opening multiple applications.
The result was a working prototype that demonstrated how AI and automation can turn an ordinary task list into a more intelligent planning system.
What We Built
The AI Day Planner included:
-
Natural-language task capture
-
AI-powered date and time interpretation
-
Due-date organization
-
Recurring task handling
-
Make automation workflows
-
Google Sheets integration
-
Mobile shortcut integration
-
Task retrieval by date
-
Structured storage of planning information
How It Worked
1. Capture the Task
The user entered or spoke a task naturally instead of completing a traditional form.
2. Interpret the Request
AI identified the task, date, time, and other relevant details.
3. Structure the Information
The automation converted the request into organized task data.
4. Store the Task
Make sent the information into Google Sheets so it could be tracked and retrieved.
5. Retrieve the Schedule
The user could later ask for tasks associated with a specific date or time period.
The Result
The prototype successfully demonstrated that an AI-powered planner could make task capture faster and more intuitive while reducing the amount of manual organization required.
It also revealed an important lesson in automation design: a technically successful workflow is not always the best user experience.
While the underlying automation worked, the mobile shortcut interface introduced more friction than desired. That insight became part of the project outcome, reinforcing the importance of designing AI and automation systems around how people actually want to work.
What This Case Study Demonstrates
This AI Day Planner project shows how Savannah Automated approaches custom automation: start with the real-world problem, connect the right tools, test the experience, and refine the system based on how it performs in practice.
The same type of workflow can be adapted for small businesses that need help managing schedules, recurring tasks, team assignments, reminders, intake requests, or internal operations.
Savannah Automated builds practical AI and automation systems for small businesses in Savannah, the Lowcountry, Georgia, South Carolina, Florida, and beyond.
